Terms and conditions

The agreements under which we put a journey together for you and carry it out.

This page holds the structure and our own agreements, but the legally required parts (company number, licence number, details of the insolvency insurance and the reference to Belgian travel contract law) have to be confirmed and filled in by your lawyer or trade federation.

1. Who we are

QualiMundi, established in Belgium.

2. What we do

QualiMundi puts together tailor-made journeys. We do not offer ready-made package holidays and we sell nothing directly through this website. Every journey begins with a personal conversation, and is put together together with a local partner we have selected.

We act as the organiser of your journey and remain your point of contact, also where parts of it are carried out by other parties.

3. Enquiry and proposal

Filling in the enquiry form is without obligation and commits you to nothing. No agreement and no payment obligation arises from it.

On the basis of your enquiry and the conversation that follows, we make a proposal. Prices in a proposal are valid for the period stated in it and subject to availability at the moment of booking.

4. How the agreement comes about

The agreement comes about when you accept a proposal in writing and we confirm that acceptance. From that moment the payment terms and the cancellation terms set out in the proposal apply.

5. Payment

Unless agreed otherwise, a deposit is asked on confirmation and the balance is settled well before departure. The exact amounts and dates are in your proposal, because they differ per journey and per supplier.

6. Changes and cancellation

If you want to change something after confirmation, we do our best to make it possible. Costs charged by suppliers for that are passed on.

On cancellation the terms from your proposal apply. Because a tailor-made journey consists of separate parts, those terms differ per part; they are always stated transparently beforehand.

We strongly recommend cancellation and assistance insurance.

7. Your responsibility

Make sure your travel documents are valid and in order in good time, and tell us anything that may affect your journey: your state of health, limited mobility, dietary requirements, or other circumstances we need to know in order to build your journey properly.

Check your travel papers on receipt for the correct spelling of names and the right dates.

8. Liability

We are responsible for carrying out the journey properly as agreed. We are not liable for circumstances beyond our control, such as extreme weather, natural disasters, strikes, airspace closures or government measures. In such cases we do whatever is reasonably possible to help you further.

9. Complaints

If something does not go as intended, report it on the spot as soon as possible to us or to our local partner, so that we can still put it right while you are travelling. If that does not work, let us know in writing within a reasonable time after you get home, at hello@qualimundi.com.

10. Applicable law

Belgian law applies to our agreements, including the legislation on the sale of package travel and linked travel arrangements.
